Understanding User Roles and What They Can Do

User roles determine what each person can access and modify inside your iTraceiT domain. Assigning the right role ensures your team can work effectively while keeping sensitive configurations secure.

User roles define permissions, visibility and control over key features such as settings, imports, user management and operational tools. Understanding these roles helps you maintain an organized and secure domain structure.

This article explains the difference between admin and member roles and outlines what each role is allowed to do within a domain.

Roles in iTraceiT

iTraceiT uses two main roles at the domain level. Each role has different rights and responsibilities.

  • Admin Role

Admins have full control of the domain. They manage the configuration and structure of the environment and ensure that the traceability workflow is properly set up. Admins can perform all actions available in the platform.

Admins can:

  • Invite, edit or remove users
  • Access and modify all domain settings
  • Manage subscription plans, billing information and orders
  • Configure extra fields, file categories, PDF parameters and reports
  • Import parcels and perform all operational actions
  • View and edit all assets and groups
  • Enable or disable features such as 2FA for their account

Admins carry responsibility for the overall setup and maintenance of the domain.

  • Member Role

Members focus on the operational side of the traceability workflow. They have access to tools and assets but cannot modify domain settings or manage other users.

Members can:

  • Access Home, Tools, My Assets and Groups
  • Create and manage QR Codes
  • Import parcels
  • Merge, split and group parcels
  • View parcel details, documents and traceability information
  • Upload media files when permitted
  • Access notifications, profile settings and the Help Center

Members cannot access domain-level configuration, subscription details or user management controls.

Assign a role based on the person’s responsibilities:

  • Use the admin role only for team members who must configure the domain or manage users.

  • Use the member role for operational staff who create, import or manage assets but do not need access to sensitive settings.


 

Understanding the difference between admin and member roles helps you create a secure and efficient structure within your domain. By assigning the correct role, you maintain control over sensitive configurations while allowing your team to perform their operational tasks smoothly.
